Using Bulk Actions

Users have the ability to perform bulk actions on a group of workers simultaneously - actions include setting zone access, reactivating badges, messaging, adding and editing a timesheet, assigning to groups and marking workers as off-site. 

Before getting into each action you can take in "bulk" I first wanted to show you how and where to take bulk actions. 

Keep in mind, at this time, bulk actions are taken from the Directory. 

To use bulk actions:

  • From the main menu select the People tab.
  • That will pull up the Directory. (also located in the left hand side menu)
  • Click the check box next to each worker you'd like to take action on.
    • Pro-Tip - If you are going to sort your list, doing it up front is helpful.
    • You'll also notice as you select people a running total is visible in the blue "Actions" header.
  • Once you've made all your selections you hit the "Actions" button on the right side of the blue actions header. This will pull up the list if bulk actions you are able to take on your selected individuals. 

Any bulk action will operate the same way in terms of making the selections and using the "Actions" button.

Below we'll review each available bulk action. 

 

Bulk Updating Zone Access*

In this article we will review:

  • Bulk Updating Zone Access

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Update zone access - a side pop out menu will appear and you can select which action you'd like to take:
    1. Select the zone you wish to update
    2. Now select the access change you'd like to make:
      • Set an indefinite start date for zone access
      • Set a limited date range for zone access
      • Deny access
      • Reset access

Pro-tip:

IF you are trying to update zone access for immediate adjustment. You'll need to use the date (for the day before) to ensure immediate zone access update. Otherwise, it won't take effect until midnight. 

*Please be advised, you can also use this workflow if you're just updating one person's access. It pops up the same side menu to take actions as it would if you went through their profile to their individual "access" tab as well. Just pointing out the option. 

Reactivate Badges

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Reactivate badges - a side pop out menu will appear for you to make your specific selections.
  • Select badge type.
  • Select validity duration and desired date range, if applicable.
  • Make sure to click Save.

Deactivate Badges

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Deactivate badges - a side pop out menu will appear for you to make your specific selections.
  • Then you select the badge type/s to deactivate from dropdown
  • Make sure to click Save.

Pro-Tip:

Deactivating badges can be be done in bulk OR directly within someone's profile. They do the same thing. Both actions simply end-date the badge. 

  • The bulk action end dates it to the day before the current day. 
  • The in-profile action lets you choose.

Sending a Message

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Message - a side pop out menu will appear for you to make your specific selections.
  • Enter the desired message
  • Click Send

Mark As Off-Site

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Mark as off-site - a side pop out menu will appear for you to confirm and save your selections.
    • Once the pop out menu appears, confirm the individuals you selected and in the top right corner you MUST hit the blue button labeled "Mark as off-site." 

Please note: This action will update the current status for the selected workers to “Off-site.” This does not affect timesheets as there is an option to edit timesheets in a following step.

Edit Timesheets 

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Edit Timesheets - a side pop out menu will appear for you to confirm and save your selections.
    • Once the pop out menu appears:
      • Select the Date for the "timesheet" you'd like to edit.
      • Select which "Seen time" you'd like to edit. (first seen, last seen or both)
      • In the top right corner you MUST hit the blue button labeled "Save changes." 

Please note: All historical data will be retained as this action will only adjust the gross hours based on the edited times. If the times span multiple dates the timesheet will be recorded as a midnight shift.

Assign To A Group

Once you've bulk selected the individuals you'd like to take action on, you:

  • Click the "Actions" button on the far right of the blue bar.
  • From the "Actions" menu, Click Assign to a group - a side pop out menu will appear for you to confirm and save your selections.
    • Once the pop out menu appears:
      • Choose if your selected workers will be:
        • Assigned to an Existing group -> if so, select from your group dropdown list.
        • Or Assigned to a New Group -> If so, please add a group name and select a group color.
      • After you make your group selections  you MUST hit the blue "Save" button in the top right corner.
